Income Tax Refunds: Schedule, the Malha Fina Review and Amended Returns

Every tax year, taxpayers face uncertainty about when overpaid withholding will be refunded, what triggers a hold in the malha fina (the “fine mesh” review that flags returns with discrepancies), and how to correct inconsistencies before the Receita Federal (Brazil’s federal tax authority) opens an audit. Understanding these three parts of the process reduces risk and speeds up your refund.

Refund Schedule: Batches, Priorities and How to Check

The Receita Federal releases Individual Income Tax (IRPF) refunds in five regular batches, spread from May through September of the year after the tax year you reported. The payment order follows criteria set out in its own regulation, which gives certain groups priority over the general queue of taxpayers.

The following taxpayers have legal priority for payment: those aged 80 or older, followed by those between 60 and 79, people with a severe physical or mental disability, people with a serious illness, and teachers whose main source of income is teaching. Taxpayers who used the pre-filled return or chose to receive the refund through Pix (Brazil’s instant payment system) also get preferential treatment in the payment order.

You can check the status of your refund directly on the Receita Federal website, in the Meu Imposto de Renda app, or through your return statement in the e-CAC (the Receita Federal’s online taxpayer service center). The system shows the batch you are expected to be paid in and, after the deposit, the bank details used. Refunds not claimed within one year remain available to be claimed at Banco do Brasil, with no time limit for the taxpayer.

Malha Fina: What Holds Your Return and How to Tell

The malha fina (literally “fine mesh”) is an internal electronic cross-checking procedure. Through it, the Receita Federal identifies discrepancies between the data you reported and the data supplied by payers of income, health plans, financial institutions and other entities required to file supplementary returns. If your return is held in the malha fina, you will not receive your refund until the issue is resolved.

The most common causes of a hold are unreported income from payers (especially when the employer amends its DIRF, the annual withholding tax return filed by payers, after you have filed your return), deductions that do not match the supporting documents on file, inconsistencies in the medical expenses you reported, and discrepancies in the amount of tax withheld at the source. Dependents claimed on more than one return under the same CPF (taxpayer ID number) also trigger an automatic hold.

You can check whether your return is in the malha fina through your return statement in the e-CAC, under the “Pendências de malha” (malha fina issues) option. The system shows the issue it found and, in many cases, suggests submitting documentation or amending the return to resolve it. A formal notice from the tax authority is delivered through the Domicílio Tributário Eletrônico (DTE, the Electronic Tax Domicile) and starts a specific deadline for you to respond.

Amended Returns: Procedure, Effects and Limits

An amended return is the tool provided by tax law to correct errors, omissions or inaccurate information in the return you originally filed. You submit it through the same channel as the original (the IRPF program or the Receita Federal’s online service), and it must contain all the correct information, not just the items that changed. The amended return fully replaces the earlier return for all legal purposes.

If you spot the inconsistency before the Receita Federal sends you a notice, you can amend your return without being subject to the multa de ofício (the penalty the tax authority assesses on its own initiative), which makes a significant difference in the total cost of getting back into compliance.

You have five years from the date you filed the original return to amend it, under Article 147 of the National Tax Code (Código Tributário Nacional). This deadline applies both to amendments that reduce the tax due and to those that increase it. Once the tax authority formally notifies you that a tax proceeding has begun, an amendment is no longer voluntary, and you lose the benefit of avoiding the multa de ofício, which can range from 75% to 150% of the tax assessed.

When the amendment results in an additional balance due, you must pay the difference plus interest at the Selic rate (Brazil’s benchmark interest rate) from the original due date. If the amendment creates or increases your right to a refund, the amount joins the regular queue of batches, subject to the legal priorities. When a return is held in the malha fina, an amendment that eliminates the discrepancy usually releases the credit in the batch following the correction.

Frequently Asked Questions

When can I check whether my refund has been released?

You can check starting on the release date of each batch, which the Receita Federal publishes in the official calendar for the tax year. The e-CAC portal and the Meu Imposto de Renda app show the batch number assigned to your return, the expected deposit date and the bank used for the deposit. If your return does not appear in any batch by the end of the regular calendar, you should check its status, because its absence may indicate a hold in the malha fina or a problem with your registration data.

Which problems most often hold a return in the malha fina?

The most common issues are discrepancies between the income you reported and the income payers reported in their supplementary returns (DIRF and eSocial, Brazil’s digital payroll and employment reporting system), medical expenses with no matching record in the statements from health plan providers, tax withheld at the source in an amount different from the one on your income statements, and dependents claimed twice on different returns. Investment income that was left out, or reported at a lower amount than the one the financial institutions reported, is also among the most frequent causes of a hold.

Can I amend my return even after receiving a notice from the Receita Federal?

Yes, it is technically possible to file an amended return after receiving a notice, but the legal effects are different. A voluntary amendment, made before you are notified of any tax proceeding, avoids the multa de ofício and limits the charges to late-payment interest. After a formal notice, an amendment is treated as an acknowledgment of the debt in the amount the authority determined, and the multa de ofício applies in the usual way. For that reason, when you find an inconsistency in your return, correcting it right away is the most advantageous course, both financially and legally.
